Who is responsible for your data
Find Tranquility, the practice of Parveen Dodia, is the data controller for the information you share. You can reach me at hello@find-tranquility.co.uk.
What I collect
- Your name and contact details
- Where you're based, and your time zone
- What you tell me about why you've come — including health information, symptoms and relevant history
- Your completed intake form
- Notes I make during and after sessions
- Records of payments and bookings
Health information is special category data under the UK GDPR. It is treated with particular care and kept to what's necessary for your sessions.
Why I hold it, and on what basis
I hold your information in order to provide the therapy you've asked for, to prepare properly for your sessions, to keep accurate records, and to meet legal and insurance obligations.
The lawful basis is your consent, together with the performance of our agreement. For health information specifically, I rely on your explicit consent, and on the provision of health or social care under Article 9(2)(h) of the UK GDPR where applicable. Payment records are kept to meet legal obligations.
Who sees it
Nobody, in the ordinary course of things. I do not sell your data, and I do not share it for marketing.
Limited access may occur through the service providers I use to run the practice — email, secure storage, video calling and payment processing — all of whom are bound by their own data protection obligations. I may also share information where I'm required to by law, or where there's a serious risk to someone's safety, as set out in the terms of service.
If I ever wish to refer to your case in writing or teaching, I will ask for your specific written consent for that specific use. Consent to therapy is not consent to anything being published, and nothing identifiable about you will appear anywhere without you agreeing to it first.
Testimonials
Testimonials are collected anonymously and published without names. If you'd like to share one, that's entirely voluntary, it makes no difference to your sessions, and you can withdraw it at any time by emailing me.
How long it's kept
Client records are retained for eight years after your last session, in line with common practice for complementary therapy and insurance requirements. After that they're securely deleted. Financial records are kept for six years to meet UK tax requirements.
How it's kept safe
Records are stored securely with access limited to Parveen alone. Devices are password protected and encrypted. Paper notes, where they exist, are kept locked away.
Your rights
- To ask what I hold about you, and get a copy
- To have inaccurate information corrected
- To ask for your data to be deleted, where no legal obligation requires me to keep it
- To restrict or object to how it's used
- To withdraw consent at any time, without it affecting anything done before
- To ask for your data in a portable format
Email me and I'll respond within one month. If you're unhappy with how I've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, though I'd be grateful for the chance to put it right first.
